Position Summary: The Payroll Specialist is at the core of our payroll business office services. This role is responsible for processing payroll for multiple charter schools. The Payroll Specialist coordinates with clients, collects and processes employee timesheets, calculates wages, issues payroll statements, and prepares payroll checks. They ensure payroll is delivered on time and in compliance with state and federal regulations, aligned with the client’s approved schedule.
Essential Duties and Responsibilities
- Follow all CSS policies and procedures related to back-office payroll processing, including communication with clients and meeting deadlines.
- Ensure payroll schedules (internal, client-imposed, and state-regulated) are met.
- Work with administrators, principals, directors, and staff to resolve payroll-related issues.
- Process payroll tasks including calculating employee wages, overtime pay, withholdings, and net pay.
- Maintain and update leave records in accordance with client policies.
- Ensure timely and accurate processing of direct deposits and other banking interactions.
- Set up new employees in the Accounting Information System and implement salary schedules, pay rates, and workdays as per the approved payroll budget.
- Address client payroll questions and needs in a timely manner.
- Prepare monthly, quarterly, and annual governmental reports (AG, IRS, YRS, W-2, 941, TWC).
- Participate in weekly progress meetings to ensure that client and CSS expectations are met.
- Maintain audit-ready payroll documentation and assist with audit requests.
- Participate in staff development and training to enhance payroll knowledge and better serve CSS clients.
- Perform other duties as assigned.

- Ability to work independently from a home office with access to necessary equipment.
- Ability to engage in limited travel within Texas.

Accountability and Classification
Accountability and Classification: This position is full-time, non-exempt, and fully remote, with competitive hourly pay between $18 and $23. It reports directly to the Payroll Manager and/or Payroll Director and requires a commitment to meeting deadlines and exceeding client expectations
