Job Overview
The Payroll Specialist is at the core of our payroll business office services. This role is responsible for processing payroll for multiple charter schools. The Payroll Specialist coordinates with schools, collects and processes employee timesheets, calculates wages, issues payroll statements, and prepares payroll checks. They ensure payroll is delivered on time and in compliance with state and federal regulations, aligned with each school’s approved schedule.

Essential Duties and Responsibilities
Duties
- Process payroll for employees accurately and on time using Texas school payroll systems. (Ascender, Websmart, Skywward. Powerschool, etc.)
- Maintain employee records, including personal information, service records, tax withholding, and benefits enrollment.
- Prepare and submit monthly, quarterly, and annual governmental reports (AG, IRS, TRS, W-2, 941, TWC).
- Reconcile and submit benefits reports and payments.
- Analyze payroll data to ensure accuracy and compliance with federal, state, and local regulations.
- Collaborate with the HR department to manage employee onboarding and offboarding processes related to payroll.
- Assist in the preparation of reports related to payroll expenses for accounting purposes.
- Respond to employee inquiries regarding payroll discrepancies or concerns in a timely manner.
- Participate in weekly meetings to ensure that school and CSS expectations are met.
- Stay updated on changes in payroll laws and regulations to ensure compliance.
- Perform other duties as assigned.
Knowledge, Skills, and Abilities
Requirements
- Proven experience as a Payroll Specialist or similar role.
- Strong knowledge of financial concepts and payroll management practices.
- Proficiency in HRIS systems.
- Familiarity with bookkeeping principles.
- Excellent analytical skills with attention to detail.
- Strong organizational skills and ability to manage multiple tasks effectively.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Excellent communication skills, both written and verbal.
- Ability to work independently from a home office with access to necessary equipment and high-speed internet.
Preferred Qualifications
- Experience as a Payroll Specialist in a Texas public school set.
- Proficiency in Texas school accounting softwares.

This position is full-time, non-exempt, and fully remote, with competitive hourly pay between $18 and $23. It reports directly to the Payroll Manager and/or Payroll Director and requires a commitment to meeting deadlines and exceeding expectations.
