It is incredibly important that your Student Information System (SIS) Calendar accurately reflects what occurred in your district each day! In order to receive full ADA funding each of your campus calendars must include at least 75,600 operational minutes, including all applicable waivers. Operational minutes include all daily minutes from the start of student instruction through the release of your students at the end of each day. You can think about operational minutes as first bell to last bell and everything in between! You can include passing periods, lunch and recess minutes in your total operational minutes for the day. This has not been a traditional school year! Between weather related closures and COVID related closures, there are multiple calendar event codes that will need to be updated in your SIS calendar this year. Now is the time to review your campus calendars because they are being submitted in your Summer PEIMS submission and directly affects your district’s funding!

If your district did not have enough “banked” minutes to cover a school closure (keeping your district above 75,600 minutes), you may need to apply for one or more of the available TEA waivers. Keep in mind that you cannot apply for two waivers on the same day and there is a 4200-minute waiver cap for the school year.

Whether or not your district applied for a TEA waiver, it is important that your SIS Attendance Calendar accurately reflects all closures or changes that occurred. Every SIS is different so please reach out to your vendor if you are unsure of how or where your updates should be made. Calendar changes can be confusing, so below is an outline of what should be submitted in your Summer PEIMS submission, depending on what occurred in your district on a particular day.

Normal Instructional Day
This day should be coded as an instructional day and have operational minutes and ADA attendance submitted.

Shortened Instructional Day
This day should be coded as an instructional day and be updated to reflect the number of operational minutes that occurred that day (instructional start bell to release time) and ADA attendance submitted (if your day was still over 4 hours long).

Low Attendance Waiver
Your district must apply for and be granted the “low attendance day” waiver. Your overall ADA percentage on this day must be 10% below your prior year ADA average. You will code this day as a waiver day in your SIS and you will only submit operation minutes for this day. **NOT ALLOWABLE FOR CYCLES 1-4 OF THE 2021-22 SCHOOL YEAR.

Missed School Day: Using Banked Minutes (non-waiver)
This day should be coded as a non-instructional day (or holiday) and no operational minutes or ADA attendance should be submitted.

Missed School Days: Using the Missed School Day Waiver
Your district typically must be able to absorb two days (using banked minutes if possible) and the remaining days that your district was closed will be covered by this waiver. The first two days should be coded as a non-instructional day (or holidays) and no operational minutes or ADA attendance should be submitted. The following days should be coded with a waiver, and you will only submit operation minutes for the remaining days.

Staff Development Waiver
Your district must apply for and be granted the staff development waiver. You will have 2100 minutes to use at your district’s discretion. You will code this day as a waiver day in your SIS and you will only submit operation minutes for this day. The operational minutes should reflect the number of minutes your staff was required to work on that day. Please be sure to have the staff workday agenda retained for audit purposes.
