Charter School Success’ (CSS) mission is to “Help Charter Leaders Succeed”.  We do that through providing Business Office Support Services in the areas of Finance, HR, Federal Grants, and PEIMS, as well as offering various training platforms.  We operate with compliance as our main outcome objective, doing so while providing unmatched customer service.  The Payroll Specialists are the core of our payroll business office services.  The Payroll Specialist is responsible for the actual processing of all payrolls for multiple Charter Schools. They coordinate with each client collecting and processing time for employee’s timesheets and payroll date, calculating wages, issuing statements, and preparing payroll checks.  Their job and what they excel at is ensuring that the payroll is delivered in compliance with applicable state and federal laws and regulations and in a timely manner according to the clients approved schedule.

Essential Duties and Responsibilities

Payroll Services include, but is not limited to, responsibility of the following facets of a client’s payroll departments operations:

  • Follow all CSS policies and procedures for all payroll related back-office processing, including payroll communication with clients, meeting deadlines, etc.
  • Ensure timeliness of all schedules, internal, client imposed, and regulated by the State or other agencies
  • Weekly progress meetings with Payroll Manager to ensure client and CSS expectations are met
  • Ensure client back-office services and process are maintained
  • Support Payroll Manger in monthly, quarterly, and annual reporting governmental reporting.  (W2, 941, TWC)
  • Maintain familiarity and expertise in the current Accounting Information System
  • Work with administrators, principals, directors, and staff regarding payroll related issues
  • Work with HR to process hiring, leave, terminations, and other employment-related issues
  • Ensure clients questions are answered and their needs are met in a timely fashion
  • Monitor the checklist and calendar to ensure the timely and accurate completion of the payroll process
  • Calculate employee wages, salaries, hours worked, overtime pay, and determine withholdings, deductions, and net pay
  • Submit reports to TRS, IRS, and AG (New Hire)
  • Process payroll adhering to each client’s unique approved schedule
  • Update Leave according to client’s policies
  • Calculate prorated salaries when applicable
  • Process and resolve direct deposit and other banking interactions
  • Set up New Employees in the Accounting Information System
  • According to the approved payroll budget, implement the yearly salary schedules, pay rates, pay codes, positions changes, salary changes, and workdays
  • Prepare and maintain payroll documentation to be always audit ready and accessible
  • Assist with audit requests for all clients
  • Participate in staff development classes to increase knowledge and expertise in payroll to better serve CSS and the payroll clients
  • Actively contribute to the improvement of our internal systems and processes
  • Perform other duties as needed or assigned by supervisors

  • Ability to travel for a multiple-day team meeting in Texas, at least quarterly
  • Access to a phone, computer, scanner, printer, and other basic office equipment for business purposes at home office
  • Stable, high-speed internet access

Accountability and Classification

In performing the above duties, the Payroll Specialist is to follow and conform to all of Charter School Success’ policies and procedures. Timeliness is paramount and deadlines imposed by CSS, the client, Texas Education Agency, Federal agencies and other governing organizations are to be met. It is also imperative that the Payroll Specialist establish and maintain good relationships with their clients and to exceed the client’s expectation whenever possible, as customer service is at the core of the service we provide.

This position reports to the Payroll Manager.

This position is classified as full-time, non-exempt. Compensation is commensurate with experience, starting at $15 – $20 hourly.
